An HR Assistant is responsible for providing administrative support to other HR professionals by documenting staff changes, performance reports and communications. They assist HR managers with recruitment, record maintenance, and provide clerical support to all employees.
- Maintains the integrity and confidentiality of human resource files and records.
- Perform administrative duties, such as maintaining employee database and sorting emails for the HR department
- Maintain proper records of employee attendance and leaves
- Assist HR Director in policy formulation, hiring, and salary administration
- Submit online job postings, shortlist candidates, and schedule job interviews
- Coordinate orientation and training sessions for new employees
- Ensure smooth communication with employees and timely resolution to their queries
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
- Performs other duties as assigned.
Requirements:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Associate degree in related field recommended
- 2 years of experience as an HR assistant (preferred).
- Exposure to labor law and employment equity regulations.
- Exposure to payroll practices.
- Full understanding of HR functions and best practices.
- Prior military/navy experience strongly preferred.
